RFQ Checklist

What Information Should You Send for a Shot Blasting Spare Parts RFQ?

A faster quote starts with complete information: contact details, destination, part category, machine model, old part evidence, dimensions, quantity, material/process request, packing and document needs.

Packing and documents for shot blasting spare parts RFQ

Direct answer: a useful shot blasting spare parts RFQ should include buyer contact, destination country, part category, machine model or nameplate, old part photos or drawings, key dimensions, quantity, material/process preference and packing or document requirements. Complete first-message information shortens the quotation loop.

Minimum data

First explain who is buying, what part is needed and where it fits

This article is closest to the conversion point. A buyer may already be ready to request price, but the RFQ still fails if it only contains a vague part name. For replacement parts, the first review needs a practical minimum: who is asking, where the parts will go, which part group is involved and what machine or installed position the part belongs to.

Many RFQs are delayed because the first message lacks basic information. A supplier cannot interpret dimensions and material notes correctly without the machine context. A buyer who sends contact details, destination, part category, machine model, old part photos and quantity in the first message usually receives a more useful response than a buyer who sends only one photo and asks for best price.

If the part name is unclear, write "not sure" and attach photos. That is better than guessing. Xindong can start from part category, machine model, installed-position photos and key dimensions, then ask for any missing details before quotation.

Evidence

Old part evidence is more useful than a short name

Any of the following can help: old part photos, a drawing, an old sample, old part number, machine nameplate or installed-position photos. You do not need to have all of them before contacting Xindong, but the more relevant evidence you send, the easier it is to reduce wrong-part risk.

For old equipment, imported systems or modified machines, the machine model and nameplate text can be more important than a general part name. If there was a retrofit or a previous replacement by another supplier, state that in the RFQ. Similar parts may have different mounting profiles, hole positions, bore dimensions or rotation-related details.

Dimensions should focus on the areas that decide fitment: total size, thickness, hole diameter, hole spacing, center bore, window opening, keyway, mounting face and left/right direction. Quantity should also be clear. A single trial piece, a matched set and a full replacement batch are different RFQ situations.

Practical checklist

Copy this RFQ structure

  • Contact: name, company, work email and WhatsApp or phone.
  • Destination: country and any special packing or clearance request.
  • Part category: selected category or "not sure".
  • Machine: model, nameplate text, brand if known and retrofit status.
  • Old part evidence: photos, drawing, sample or old part number if available.
  • Key dimensions: length, width, thickness, hole spacing, bore or opening dimensions.
  • Quantity: single piece, set, trial order or full replacement batch.
  • Documents: inspection photos, packing photos or material notes if needed.

For export orders, do not leave packing and document requirements until the final stage. If a buyer needs packing photos, material notes, inspection photos or a specific packing style, those requirements belong in the RFQ. Early communication prevents quote rework after price discussion.
